Job Title : Registration and Promotions Coordinator
Classification : regular, full-time, exempt
Salary : DOE
This position reports to the Registration Manager in the Small Business and Events Department. It is primarily responsible for the coordination of registration functions and for promotional efforts for Chamber departments and programs.
POSITION RESPONSIBILITIES
Registration:
Process registrations for designated Chamber programs.
Ensure that staff leads have accurate information about attendance at events.
Ensure that complimentary guests are appropriately registered.
Process registration payments; submit cash to accounting and do billings.
Monitor and resolve outstanding credits and payments due.
Master the membership and registration functions in the Chamber’s database, crossXing.
Handle logistics: work with caterers, set-up refreshments for on- and off-site programs; event set-up and tear down; meeting packets, etc.
Evaluate program effectiveness, including analyzing attendees by company size and sector.
Promotions:
Coordinate promotion of Chamber programs in print, web and electronic formats.
Work collaboratively with the Communications Department and other departments to promote events, maintaining organizational integrity and branding.
Gather and write articles to promote designated Chamber programs and events.
Assist in developing marketing strategies to stimulate participation.
Create, update and monitor department email lists and ensure integrity in crossXing.
Monitor inventory of promotional materials and ensure that the Membership Department has adequate supplies.
Administrative Tasks:
Maintain program calendars and ensure updates of the Chamber master calendar.
Answer department information lines.
Maintain lobby rack, stock current flyers, notices, etc.
Perform clerical duties: correspondence, proofreading; check links on Chamber website; research bounced-back emails and remove recipients from email lists; mail merges; bulk mailings; routine filing, including maintaining and setting up files; faxing; pick up and distribute department mail daily; copying; maintain department supplies and inventory; schedule meetings and maintain calendars; occasionally serve as backup for reception.
Other duties as assigned.
QUALIFICATIONS
Strong customer service ethic required
Proven aptitude in computers; familiarity with Microsoft applications highly desired
Demonstrated word processing skills
Experience preparing tracking reports using spreadsheets; strong database skills (Excel and Access preferred)
HTML coding experience desired
Availability to attend early morning and evening events
Strong verbal and written communications skills
Ability to interact effectively with members, volunteers and staff
Flexibility, ability to work under pressure and to prioritize and coordinate multiple projects
2+ years administrative experience; BA (or equivalent experience) desired
